Keep commercial compliance documents current

Commercial documents can be associated with an account, site, or contract and include type, title, issued date, expiration date, notes, and visibility policy. Files remain in protected storage.

  1. 1Open the commercial account’s Documents workspace.
  2. 2Filter by site, status, or expiration horizon to find the record you need.
  3. 3Upload a document through the reservation flow and enter its supported contextual dates and fields.
  4. 4Replace, waive, update visibility, archive, or download the document using the action appropriate to your role.
  5. 5Review the compliance summary and replace expired or expiring documents through the approved process.
Only share documents with contacts and sites authorized by the account. Never copy private storage URLs or object-storage fields into messages.

How should I replace an expiring document?

Use the supported document action and enter the actual issue and expiration dates for the replacement.

For example, a renewed certificate should be uploaded through the reservation flow and reviewed against its recorded type and visibility. Use expiration filters to find affected records, then verify that the replacement is available to the intended contacts.

What are the limits of this workflow?

Uploading a file does not prove compliance. Sharing remains permission-scoped; never copy private storage paths or signed file URLs into general communications.
